The Role:

You will be the Administrative Support for Exec s and individuals within the Teams assigned area, e.g. Corporate, Central, Sovereigns, and Financial Services etc.

_Responsibilities:


  • Follow the Administration Assistants Standard Operating Procedures (SOP) detailed on the Admin portal, to provide a consistent level of Admin support across teams.

  • Outlook Calendar scheduling and meeting bookings for Exec s and teams; coordinate the arrangement of facilities such as meeting rooms, equipment, food & beverage etc.

    • Book & prepare Exec and team member s itineraries for travel, including visas, flight - s, accommodation, car pickup - drop-off etc.
  • Book & facilitate video and audio conferences, including connectivity setup.

  • Create and update documents (presentations, letters, memos etc.) within Microsoft PowerPoint Word, Outlook and Excel.

  • Maintain the central database and the Admin Portal, ensuring information is up to date.

  • Collate and administer Travel & Expense (T&E) in Concur system for Exec s & team members.

    • Facilitate the coordination of office - department moves.
  • Facilitate events, exec, and team or company activities, as required.

    • Coordination with Communications team on any press releases or internal - external communication requirements, including maintaining Admin Portal calendar of events.
  • Coordinate the procurement of stationary.

    • Coordinate technology for the Office and - or area assigned, including regular inventory management reviews, yearly end of life laptop replacements and arranging disposal of technology to discontinue financial charges.

    • Coordinate the onboarding - transfer - off boarding of staff in assigned area including application setup - update - disable, welcome pack, door access, introductions - office tour, emergency information etc.

  • Coordination of courier services and distribution of postal mail for Exec s and teams.

  • Business Continuity maintenance of staff contact records, outlook distribution lists etc.

  • Any other new or ad-hoc requirements assigned by Exec s.

_Qualifications:


  • At least 3 years of prior Administration experience

  • Intermediate to Expert level skills in Microsoft Office, specifically Outlook, Powerpoint, Word Excel and good knowledge of technologies like webex, Good, printers, mobile phones, citrix etc.

    • Expert level administrative written and oral communication & relationship - representative skills.
